Context

Foksi runs a gym with physiotherapy services. Daily work involves recurring shifts, patient records, subscriptions, receipts and staff absences.

The project started from the real workflows of the front desk and administration, with the goal of making the system practical for people without technical skills. Most of the development happened in summer 2025, with improvements through summer 2026.

Problem

Patients, bookings, payments and internal tasks lived in Excel sheets and separate tools. Information was hard to control, every manual step increased the risk of errors and receipts had to be prepared one by one.

Solution

I built a web app that follows how the business works: from weekly shifts to payment, receipt and staff management.

  • Weekly shifts by day and time slot, with waiting list, priority list and callbacks: six days by seven slots, nine places per shift before the waiting list kicks in.
  • Patient records with notes, certificate and membership expiries, booking history, payments and receipts.
  • Monthly, two-month and yearly subscriptions plus per-service payments, with a month-by-month coverage grid.
  • Sequentially numbered PDF receipts with preview, download and email delivery to the patient.
  • Read-only area for the accountant, with filters and bulk export of receipts as a ZIP archive.
  • Staff management: leave, overtime and sick time, with a personal portal where staff submit requests and an approval flow.
  • Operational dashboard with expiries and notifications, internal chat between administration and front desk, and analytics with revenue trends and period comparison.

Result

Foksi moved from fragmented management to one system with three access levels: administration, front desk and accountant. The team manages shifts, patients, payments and staff with fewer manual steps and more control.

The result remains qualitative: no verified metrics on time saved are available.
